Corporate data on the website: what to indicate along with the registered office

A company's website is not just a commercial tool. It is also one of the places where customers, suppliers, and other stakeholders seek to understand who runs the business, where it is located, and how to verify its identity. For this reason, the corporate data on the site web should not be included by copying an old footer or relying on a generic template.

The information to be published depends on the legal form and the activity carried out. The Civil Code regulates the indications in the acts and correspondence of companies and, for some joint-stock companies, extends the availability of such information to the public electronic space. VAT regulations also require that the VAT number be indicated on the homepage of any website. An e-commerce, a consumer-oriented business, or a company subject to sector rules may have additional obligations.

This guide, verified on August 31, 2026, helps to build an initial checklist and to distinguish what comes from general rules from what requires a check on the specific case. It does not replace the review by the professional who follows the company.

Because the legal address on the website must be a verified data

The legal address identifies the formal reference of the company. The Business Register describes it, in general terms, as the place that from the deed of incorporation is the administrative center of the business and reminds that each company has only one legal address, even when it has multiple local units or operational sites.

On the site, therefore, the address should not be chosen based on the place most known to the public or the most convenient location for deliveries. If the legal address is in Milan and the daily activity takes place elsewhere, the two addresses can both be useful, but they must be labeled correctly. Simply writing “address” next to a commercial office or a warehouse can create ambiguity.

The first source of control is an updated chamber registration. Name, legal form, complete address, and registration data must be read from the actual situation of the company, not from a brochure or a previous contract. This check is particularly important after a formation, a transfer, or a corporate modification.

Which corporate data on the website to check first

Article 2250 of the Civil Code provides that, for companies subject to the obligation of registration in the Business Register, the indication in the documents and in the correspondence of the registered office, the office of the Business Register where the company is registered, and the registration number. The same regulation requires additional information in certain situations and for specific corporate forms.

A basic check for the site should therefore start from these elements:

  • full name or corporate name, including the legal form;
  • complete address of the registered office;
  • competent Business Register office and registration number;
  • tax code and VAT number, checking if they match;
  • share capital according to the data and the method required for the relevant corporate form;
  • any state of liquidation;
  • any indication of a single-member company, when applicable;
  • contacts that allow effective access to the business.

Not all items on the list have the same basis or apply in the same way to every business. For example, the rules on share capital and sole shareholder pertain to specific companies with capital. Also, the indication of the REA number, often found in company footers, should not be confused with the registration number in the Business Register without verifying how the data appears in the registration.

To avoid incorrect formulas, it is useful to have a standard corporate line validated by the accountant, lawyer, or the appointed professional and reuse it in relevant points.

Where to show registered office and company data

The VAT number deserves specific attention: Article 35 of the D.P.R. 633/1972 establishes that the number assigned to the taxpayer must be indicated on the home page of any website. Hiding it only on an internal page that is hard to reach is therefore not a prudent choice.

For other data, a visible footer on the pages of the site is a common organizational solution because it makes the information accessible without forcing the user to search for it. However, the footer is not a magic formula: it must be readable, updated, and consistent with any “Contact”, “Legal notes”, contractual conditions, and information pages.

A practical setup may include:

  • on the home page, at least the VAT number and an obvious access to corporate information;
  • in the footer, a synthetic block with name, registered office and main identifying data;
  • on a legal or corporate page, complete information and any specific data of the activity;
  • on the contacts page, the distinction between registered office, operational offices, sales points and delivery addresses;
  • in the purchase flows, the pre-contractual information required before the customer completes the order.

The graphic choice must preserve accessibility and clarity. Text that is too small, low contrast, or content loaded only within an image makes it more difficult to read, update, and verify the data.

Share capital , sole member and liquidation: when additional indications are needed

The corporate line cannot be identical for every company. Article 2250 requires that the capital of joint-stock companies, in limited partnerships and limited liability companies be indicated according to the amount actually paid and as shown in the latest financial statement. For S.p.A. and S.r.l., the presence of a sole member must also be indicated when this condition applies.

After the dissolution, the companies involved must indicate in the documents and in the correspondence that they are in liquidation. A footer that has remained unchanged can therefore become inaccurate even without a change in address.

These examples show why it is not advisable to fill out the site just once at the time of incorporation. The corporate block should have an internal owner and a source of verification. The publication of the financial statement, a change that affects the indication of the sole partner, the start of liquidation, and changes in capital are events that may require an online text review.

The review must also consider the specific legal form. A sole proprietorship, a partnership, an LLC, and a corporation should not be treated as if they have the same informational obligations.

If the site sells online, the checklist becomes broader.

A showcase site and a site that allows for contract completion do not have the same scope. E-commerce and distance contracts require additional information about the business, contacts, goods or services, prices, payments, delivery, warranties, and, when applicable, the right of withdrawal.

The Ministry of Enterprises and Made in Italy reminds that, before concluding a distance contract with a consumer, the professional must provide clearly and understandably the pre-contractual information required by Article 49 of the Consumer Code. Legislative Decree 70/2003 also regulates general information for information society services.

It is therefore not enough to add the legal address in the footer to consider an e-commerce complete. It is necessary to verify the entire process: product sheet, cart, order button, general conditions, confirmation on durable support, contacts, returns, and assistance. Even marketplaces, regulated activities, and professions may require additional data.

This part must be reviewed based on the actual sales model: B2B or B2C, goods or services, subscriptions, digital content, target markets, and methods of concluding the contract change the checklist.

How to keep the website, registration, and business documents consistent

Compliance does not depend only on the first publication. The most common risk is misalignment: the registration contains the new data, while the footer, privacy policy, general conditions, email signatures, or business models still show the previous version.

To reduce the risk, it is advisable to create an essential register of points where corporate data appears. It can include main site, subdomains, landing pages, e-commerce, customer portals, marketplaces, PDF templates, email signatures, offers, invoices, and business profiles managed by third parties.

Then assign three clear responsibilities: who authorizes the data, who updates the systems, and who verifies the result. After each change, do not stop at the request sent to the web provider: open the public pages, check the text from desktop and mobile, and compare it with the official source.

If the company uses a legal domicile for business in Milan, the published address must be coordinated with those who handle the corporate practice and with those who manage the digital channels. Zanettistudios provides four addresses in Milan and specifies that the service concerns the formal headquarters and the related management of correspondence, without replacing the company's accountant.

The overview of the services Zanettistudios and the page Contacts help to distinguish the domicile from legal, tax, and operational activities that require professionals or separate processes.

Frequent errors in online corporate data

The first mistake is copying data from an outdated source. The second is using vague labels: an operational address presented as the legal headquarters, or vice versa. The third is compressing everything into a line so small that it becomes almost unreadable.

Other recurring mistakes are:

  • leaving the VAT number only on an internal page;
  • omitting the legal form from the name;
  • confusing the REA number and the registration number in the Business Register;
  • showing an outdated share capital or formulated without the required verification;
  • not indicating the liquidation status or the sole partner when applicable;
  • updating the footer but not the general conditions or the privacy policy;
  • believing that a complete footer fulfills the obligations of an e-commerce;
  • publishing a certified email or an email address that no one monitors;
  • indicating the legal headquarters as a place for pickup or delivery without the service being available.

A final check should be carried out by someone other than the person who entered the data. It is a simple step that helps catch incorrect addresses, missing postal codes, old names, and non- functioning links.

FAQ about corporate data on the website

Should the legal headquarters appear in the footer?

The footer is a practical and generally accessible location, but compliance does not depend on the name of the graphic block. It is necessary to verify which information applies to the company and make it actually available on the web space, while the VAT number must be indicated on the home page according to Article 35 of the D.P.R. 633/1972.

What is the difference between REA number and registration number in the Business Register?

These are references that can both appear in the certificate, but they should not be treated automatically as synonyms. Before writing the corporate line, retrieve office and identifiers from the updated certificate and have the formula intended for the site verified.

Do I need to indicate the share capital on the site?

Article 2250 provides indications on capital for S.p.A., S.a.p.A. and S.r.l., according to the amount actually paid and resulting from the last financial statement. The specific formulation should be verified for the company in question.

Is the PEC always mandatory in the footer?

It should not be presented as a general obligation of the footer without verifying the applicable regulation. The company must have and communicate its digital domicile in the cases provided, but the site can use different contacts. If a PEC is published, it must be monitored and not confused with the physical address.

Can I indicate an operational office instead of the legal headquarters?

No, if the block must identify the legal headquarters of the company. It is possible to also show offices, stores, or operational locations, as long as the labels are clear and the company data remains consistent with the registration.

What changes for an e-commerce?

Informational obligations related to online sales, the services of the information society, and, in B2C relationships, consumer protection are added. A review of the entire purchasing process is needed, not just the footer.

When should I recheck the data online?

After changes in headquarters, name, capital, relevant structure, liquidation status, or contacts. A periodic check is also useful, because copies of the data may remain on secondary pages, PDFs, and external platforms.
